Automate reviews through Zapier with the Ivo Assistant Zapier integration.

Setup

  1. Open the Assistant API Keys page of the Ivo Web portal.

  2. Click New API Key and follow the instructions to create an API key to use in Zapier. Copy your key and store it in a safe place! Treat this key like you would a password.

  3. Open the Assistant Integration Setup page of the Ivo Web portal.

  4. Click Add Ivo to Zapier and follow the instructions to add the Ivo Assistant Zapier integration to you Zapier account.

  5. Create a new Zap and Choose Ivo - Review a Document as an action.

  6. Click Sign in in the Ivo - Review a Document action and enter your API Key from step 2.

  7. Use Ivo in your Zaps!

Usage

Ivo currently provides the following actions in Zapier:

  • Review a Document

Review a Document

  1. You will need to provide the following information to configure the action:

    1. Filename: The name of the Word document Ivo is reviewing.

    2. File: The Word document.

    3. Ivo Review: True or False. Whether Ivo should highlight risky items that are not defined in your Playbook when reviewing against your Checklist.

    4. Guess Playbook: True or False. Whether Ivo should determine the Playbook to use. If you would like to specify a Playbook for your Zap, choose False.

      1. No Playbook: True or False. If False is selected for Guess Playbook, select whether you would like to use a Playbook for your review.

      2. Playbook: If False is selected for No Playbook, decide which Playbook you would like Ivo to use for review when this action is triggered.

  2. You can expect the following outputs from the action:

    1. Original Document: The original document that was reviewed

    2. Redlined Document: The original document with redline suggestions

    3. Issues List Document: A tabulated summary of all the detected issues

    4. Number of issues: The number of issues detected

    5. Approvals Required: Based on your Rules (see the next section), whether an approval is required

Approvals

Ivo Rules allow you to conditionally trigger different actions after reviewing a document.

  1. Setup Rules in your Playbook (see Ivo Assistant Approvals for more information). Note that when used in Zapier each Rule's action and attached documents are ignored.

  2. Create a Zap, ensuring that the same Playbook your Rules were specified in is selected.

  3. Use Zapier's built-in Paths step to add conditional paths based on the values of the Approval Required output from Ivo:
