Segmenting documents with Rooms in Repository

Ivo’s Repository now includes Rooms — a new feature designed to help teams organize their work by matter, deal, client, or function. Think of Rooms as flexible, project-based folders where your documents and views live in context. Specific users or teams can be granted access to individual Rooms, making it an ideal way to segment and control access to sensitive documents.

To access Rooms:

  1. Navigate to the top-right corner of the Repository interface.

  2. Click on the Rooms button.

  3. You’ll see a list of existing rooms and can utilize the search function.

To create a new room, follow the instructions above then click Create Room at the bottom of the list.

You'll then be able to:

  1. Name the Room

  2. Add a description

  3. Grant access to certain teams

Once created, the Room becomes immediately available for use.

Once you're in a Room, you'll be able to utilize:

  • File Uploads: When you upload a file while inside a specific room, it is stored exclusively in that room.

  • Custom Views: Each room supports custom views, just like the main Repository, allowing tailored filters and layouts.

  • Room Switching: To toggle between rooms, simply click the room name in the Rooms menu.

  • Editing or Deleting a Room: While in the Room you'd like to edit or delete, navigate to the Rooms list and select the pencil icon on the bottom left. Edit any fields and click Update, or click Delete on the bottom left. Note that deleting a Room removes it completely for all users in the entire workspace.
