Roles and Permissions

Collaborate has two levels of access: Group-level roles that govern what a person can do across a Group, and Matter-level roles that govern access to a specific deal.
Group-level roles
Group Admin — configures Groups and Workflows, including templates, review inputs, reviewer assignment, and escalation policy. Group Admins can view and act across all Matters in their Group.
Group Viewer — can see all deals in their Group and perform intake.
Group Member — can perform intake and be referenced in Workflow routing to review assigned documents. Members see only Matters they have been added to.
Matter-level roles
Matter Owner — the person who creates the Matter during intake. The Matter Owner can manage Matter access, add people, upload returned counterparty turns, and transfer Matter ownership to another registered user in the same Group. There is one Matter Owner per Matter.
Matter Participant — can see the entire Matter and act on issues assigned to them.
Matter Viewer — can see the entire Matter, including all agreements, versions, issues, and comments, and may leave comments. Cannot upload versions or act on issues.
Guests
A Guest is a non-Ivo user added to Collaborate by an admin. Guests receive the access level granted through invitation, mention, or escalation.
How access is granted
Access to a Matter can be granted in several ways beyond direct invitation:
Mentioning someone in an issue comment who is not already in the Matter automatically adds them as a Matter Viewer. This includes guests. The mention picker shows the people available for tagging.
Escalating an issue to someone who is not already in the Matter automatically adds them as a Matter Participant.
Issue actions and ownership
Issue actions follow issue ownership. The person assigned to an issue is the one responsible for actioning it. Group Admins have broader authority to act across issues in their Group.
Notes
Matter-specific access can be granted without Group membership. This gives the person access to that Matter only and does not grant access to the Group's Workflows.
Workflow visibility follows Group access. There is no separate workflow-level permissions control.
Only the Matter Owner can upload returned counterparty turns from the Matter or document page.
Matter ownership can be transferred to another registered user in the same Group.
